How to Remove the Stress of Admin Work From Your Online Private Practice

Automate Your Private Practice's Admin Work

The idea of starting your own digital private practice can be exciting but also overwhelming. On one hand, you get to be your own boss and provide care to patients in a way that aligns with your values and expertise. On the other hand, you have to handle administrative tasks such as intake forms, billing, and payment. Fortunately, Curv Health’s combination of automated tools and customer support team removes the stress of admin work so that you can focus on what really matters: providing quality care to your clients.

Intake Forms

Before a kickoff appointment, Curv sends your client a general intake form that gathers information on general health history and future goals. Once completed, the intake form is sent to you via email. This way, you can review the information ahead of time and be better prepared for the appointment.

Billing

Curv Health automates much of the billing process, which alleviates the stress that comes with that aspect of admin work. After each appointment, Curv reviews the details and charges the client within one (1) business day on your behalf. Curv also deducts any service fees automatically, so the dollar amount you see in the billing tab is all yours!

Payments

You will be paid for each appointment within two (2) business days, assuming there are no complications such as the client's card being declined and requiring an alternate payment method. In the case that there are delays in client payment, you will be paid at the point that Curv settles the charge. Each week, Curv transfers the accumulated funds from your Curv account to your bank account. Curv also provides a record of payment through the billing tab in the app, which is the best place to visualize a history of your payouts.

Payment Issues

The Curv Health platform requires clients to have a valid payment method on file when booking an appointment, so payment issues are generally quite rare. However, if a charge for an appointment fails to go through, Curv’s billing administrator will handle this for you. The client will be contacted to update their payment information, and we will re-attempt to charge for the service. Note that while we will do everything we can to deal with any issues in payment, we cannot guarantee payment if we are unable to reach the client.

Requesting a Bill Amendment

If for any reason you’d like to adjust the fee for an appointment, you can leave a note for our billing admin within the post-appointment flow. In the post-appointment flow, select “no” and “other” to leave a detailed note on how you’d like the bill to be adjusted. (More info on the post-appointment flow can be found in-depth Guides)

Receipts

After an appointment has been billed, clients receive a detailed receipt via email which includes all the relevant information to submit a claim to their insurance (in Canada). To request additional information on the client receipt, leave a detailed note for our billing administrator during the post-appointment flow. You may also request a copy of this receipt for your records through the post-appointment flow or by emailing support@curvhealth.com.

No-Shows & Late Cancellations

It's never pleasant to deal with no-shows or late cancellations, but Curv Health can help alleviate the stress that comes with them. If a client fails to show up to your scheduled appointment, you’ll have the option to charge them a $20 no-show fee. We leave the decision on whether or not to charge with you. If you would like to charge the client the fee, follow the post-appointment flow and notify our billing admin.

As for late cancellations, an upcoming feature will restrict clients from cancelling within 24 hours of the appointment. This will help reduce the likelihood of last-minute cancellations and ensure that your time is valued.

Notifications For You & Clients

Curv Health also offers a notifications feature that keeps both you and your clients informed about any updates or requests. When you add a new client, Curv sends them a notification about your request, and you will also receive a notification when someone requests to work with you. This feature is similar to software systems commonly found in clinic settings, ensuring that everyone is up-to-date on the latest developments.
